How do I get to the offsite (travel logistics)?
We have arranged for group flights from Albany, Newark, New York (JFK), and Philadelphia. If you are traveling from a city not listed above, you will need to book your flight to Phoenix.
If you need to book your own flight, you will be allowed to expense up to the limits laid out in the Noodle Expense Policy. Before booking your own travel and purchasing your ticket, please seek approval from your manager.
We will provide shuttle transportation from the Phoenix airport to the hotel on Monday, and will get you back to the airport on Wednesday. Visit our Transportation page [https://universitynetworksummit.com/flights/] for the details.
Do I need to share a room?
We’re growing REALLY fast! We want to get the ENTIRE team together and in order to accommodate our size (300+ strong) we need to double-up in hotel rooms. Please submit all roommate requests via the meeting survey.
How will my roommate be selected?
You’ll be able to request your roommate, but please check with your proposed roommate first as we will only honor reciprocal requests. While we can’t guarantee that we’ll be able to honor every request, we’ll do our best to match you. Noodlers without a roommate request will be randomly assigned a roommate.
If I request my own room, will I have to pay for it?
You’ll have an opportunity to request your own room on the survey. Keep in mind that we can only offer up singles after we ensure we can accommodate all attendees within our room block. If we have extra rooms available, we are happy to offer you a single for an additional fee. If there are special circumstances that preclude you from sharing a room, please reach out to the People Team to share details of your circumstance. If you simply prefer to be alone, a single will cost an additional $130.50/night. You will need to send a check for $261, payable to Noodle Partners, Inc., prior to December 1 to:

If I am an hourly employee, how do I track time?
Hourly employees will need to track hours, which includes travel time and time spent at scheduled non-recreational events at the offsite, and submit timecards through Justworks. More detailed information will be shared prior to the offsite to ensure you are able to track your hours accurately.
How do I share my eating restrictions? Will there be accommodations?
The offsite survey that was sent to your Noodle email includes group flight options, roommate selection, and dietary preferences. You’ll have a chance to note your preferences on the survey and we’ll be sure to accommodate.
How is the offsite accommodating disabilities?
What do I wear?
The suggested packing list for your Scottsdale style. (Hint: keep it casual.)
After all this time working from home, you might be eager to swap out those sweats for something more formal– but Scottsdale is not the place for it. As noted in the health section, we’ll be spending most of our time outside…and it will be hot during the day and chilly at night. (It’s the desert after all!) You’ll want to bring casual clothing and activewear (shorts, T-shirts, sneakers, etc.) plus a jacket for early mornings and evening time. And don’t forget to pack your neon attire for our Back to the 80’s Party!
Will there be time for recreational activities?
We have recreational time set aside as part of the meeting agenda. If you would like to enjoy additional free time, we recommend you to book your own flight and arrive for the weekend prior to the meeting.
Do I need to prepare anything?
If my “plus one”wants to join me, should he/she arrive?
Will Noodle support childcare needs while I’m at the offsite?
No, Noodle will not provide/pay for child/parent care and/or petcare while you are traveling for the offsite.
I will be on leave during the offsite, do I need to attend?
If you are on leave, you will not be able to attend this year.
Will I be able to expense meals while I travel?
If you are traveling during mealtime you can expense the cost of your meal. This includes airport and inflight food purchases. Please note, this is an either or situation. For example, it’s lunchtime and I am at O’Hare and I have lunch at Tortas Frontera by Rick Bayless. During my United flight I decide to purchase the Tapas Snackbox. You can expense either Tortas Frontera or the Tapas Snackbox, but not both.
I think my flight might be too expensive. What should I do?
If you feel your flight options are too expensive please contact Steve McCool @ smccool@noodle.com. He will have someone work with you to find the lowest price and coordinate the purchase.
Do I have to be vaccinated to attend the offsite?
Yes. As of 6/1/21, our offices and events are vaccine-only spaces and proof of vaccination will need to be provided prior to attendance. For more information, please see our COVID-19 Vaccination Policy in the Noodle Wiki. All Noodlers are required to complete the confidential vaccination Google Form.
About Expenses
All hotel costs, including room, tax, and any applicable resort fees, will be billed to a master account. You may need to put down a credit card for incidentals upon check-in, and reimbursement of those expenses is, again, subject to the policies laid out in the Noodle Expense Policy.
During the meeting, all meals, food, and beverages will be provided, making any additional meal purchases unnecessary. During the social events, alcohol will be provided, but if you have drinks outside of the organized events, that’s on you.
Professionalism and Alcohol Policy
We will be serving alcohol at some of our events, and we ask that you drink responsibly. This goes without saying, but the Annual Meeting is still a work function, and you will be expected to act professionally and abide by all of our standards and policies just as we do in our offices.
You are required to attend all scheduled events, including presentation sessions. In addition, we ask that no one depart the hotel until the meeting is officially over on Wednesday afternoon.
